2.5 Technical and Usage Data

Log files, IP addresses, session data, device identifiers, and usage analytics collected automatically during platform use. This data is retained for 12 months from the date of collection and is then aggregated or deleted.

2.6 Marketing and Consent Data

Records of marketing preferences, consent timestamps, and opt-in or opt-out actions. This data is retained for 3 years from the date consent was given or withdrawn, to demonstrate compliance with applicable communications standards.

Deletion procedures are applied consistently across all storage systems, including primary databases, backup systems, and third-party processors. Where data is held by third-party service providers, Ulmarud requires those providers to apply equivalent deletion standards through contractual agreements.
Physical records, where applicable, are disposed of through secure destruction methods that prevent unauthorised recovery.

6. Backup and Archival Data

Data stored in backup or archival systems may persist beyond the primary retention period due to the technical nature of backup cycles. Such data is subject to the same deletion obligations and is purged from backup systems within a reasonable timeframe following the expiry of the applicable retention period, typically within 90 days of the scheduled deletion date.
Backup data is not accessed or used for any operational purpose other than disaster recovery.

7. Data Held on Behalf of Users

Where Ulmarud processes data on behalf of organisational clients or institutional users, retention obligations may be governed by the terms of a separate data processing agreement. In such cases, the terms of that agreement take precedence over this general policy to the extent of any conflict.

8. User Rights Regarding Retained Data

9. Exceptions and Overrides
